Appointment Cancellation, Rescheduling, & No-Show Policy

UPDATED NOVEMBER 1, 2026

If you are no longer able to make an allied care appointment, please visit your account page to cancel.

Your appointment time is reserved just for you. As such, we appreciate advance notice for any cancellations or changes to your booking. Patients who cancel, reschedule, or no-show their appointment agree to the following policy:

Appointment Cancellation & Rescheduling

A minimum of 24 hours’ notice is required for all appointment cancellations and rescheduling requests. For appointments booked less than 24 hours in advance, cancellations or changes must be made within one (1) hour of booking. Otherwise, the full fee applies.

  • Notice must be submitted via direct email to hello@betahealth.ca or by phone during regular business hours. Timestamps on emails or voicemails will determine notice.
  • Appointments cancelled or rescheduled with less than 24 hours’ notice will incur a fee equal to 100% of the scheduled appointment fee.
  • Rescheduling an appointment does not waive the late cancellation fee. Any change made within the 24-hour notice period will be treated as a late cancellation. Late cancellation fees apply regardless of reason; documented emergencies are evaluated at clinic discretion on a case-by-case basis.

Missed Appointments and No-Shows

Failure to attend a scheduled appointment without prior notice will be considered a missed appointment or no-show and will incur a fee equal to 100% of the scheduled appointment fee.

Fee Processing

Applicable late cancellation and missed appointment fees will be charged to the credit card on file. If the credit card on file is declined, the outstanding balance must be settled prior to booking any future appointments.

Missed appointment and late cancellation fees are the patient’s responsibility and are generally not covered by extended health insurance or third-party benefit plans. Patients should not assume these fees are eligible for reimbursement and are responsible for confirming any applicable coverage directly with their insurer.

These fees remain payable regardless of whether a patient has extended health benefits or other insurance coverage.
